# Privacy policy

This policy explains how personal information is handled when you visit Axozar Software, create an account or use our B2B marketing tools.

## 1. Who is responsible for your information?

Axozar is a trading name owned by PARTNEXIA TECHNOLOGIES LIMITED, company number 17161190, registered office 72 Halliwick Road, London, England, N10 1AB. For account administration, billing, support and service security, this company is the data controller.

When a business uses Axozar to manage prospect data and conversations, that business generally determines why those contacts are processed and acts as the controller. We process that campaign information to provide the service on its instructions. Contact the business that messaged you about its marketing; you can also contact us if you need help identifying the sender or exercising an objection.

## 2. Information we handle

- Account and business details, such as your name, email address, telephone number, business profile and account status.
- Prospect and client information, including business names, business contact numbers, locations, groups, notes and email addresses where provided.
- Campaign content, SMS messages and replies, send schedules, delivery updates, opt-out records and conversation settings.
- AI briefing information, including business facts, offers and campaign objectives, and the conversation context needed to generate replies.
- Billing information, such as subscription status, credit transactions and payment references. Payment-card entry and storage are handled by our payment provider; the application does not store your full card number.
- Support messages and technical information needed for security, error investigation and reliable operation, such as browser details, access records and error reports.

Information comes from you, businesses using the platform, business discovery results and the services involved in sending messages or processing payments. Do not include unnecessary sensitive personal data in lists, messages or AI briefs.

## 3. Why we use information and our lawful bases

We use account and billing information to provide the service and perform our contract with you. We use relevant records to meet legal obligations, including financial record-keeping.

Our legitimate interests include securing accounts, preventing abuse, maintaining service reliability and answering business enquiries. We consider the impact on individuals and do not treat legitimate interests as a substitute for consent where consent is legally required.

Campaign data is processed to discover and organise contacts, transmit messages, handle replies, generate enabled AI responses and show campaign history. The business running a campaign is responsible for its own lawful basis, required consent and privacy notices. Public availability of a number does not remove those responsibilities.

## 4. Who receives information?

Information is shared only as needed with services that support hosting, account access, messaging, email delivery, AI replies, payment processing and technical support, and with authorised staff working on the service. Relevant message content and contact information must be passed to communication services to deliver messages; relevant briefs and conversation context are passed to the AI service when automatic replies are enabled.

Information may also be disclosed to professional advisers or authorities where required by law or necessary to protect legal rights. This policy does not authorise selling customer contact lists for unrelated marketing.

Providers may process information outside the UK. Where a restricted international transfer takes place, appropriate safeguards must be used under applicable data protection law, such as an adequacy arrangement or approved contractual protections. Contact us for information about providers and transfer arrangements relevant to your account.

## 5. Retention and do-not-text records

Account, campaign and support information is retained for as long as needed to operate the service and meet relevant legal, security and dispute-resolution requirements. Retention depends on the type of record and the reason it is held. Account closure does not necessarily remove financial or legally required records immediately.

Do-not-text records are intentionally retained to prevent future contact with numbers that have opted out or replied negatively. Deleting a message or conversation does not remove its suppression record. These records are used to respect objections rather than restart marketing. An erasure request may therefore result in retaining a minimal suppression record where justified.

## 6. Cookies and browser storage

The service uses cookies or browser storage where needed for account sessions, secure access and remembered account-interface state. Browser settings can restrict or clear storage, but doing so may sign you out or affect functionality.

This policy does not grant permission for optional advertising or tracking. If non-essential tracking is introduced, we will provide the required information and consent controls before using it. External services opened through links, including WhatsApp, have their own privacy and storage policies.

## 7. Your rights

Subject to applicable law, you may request access, correction, erasure, restriction or portability of your personal information, and object to processing. You can withdraw consent where processing relies on it, without affecting earlier lawful processing. Objections to direct marketing must be respected.

Email our privacy contact with enough information to locate the relevant account or message. We may need to verify your identity and will respond within applicable legal time limits. For campaign data controlled by another business, we may direct your request to that business or assist it in responding.

You can complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. We encourage you to contact us first so we can try to resolve your concern.

## 8. Security, children and updates

We use account access controls and operational safeguards to reduce unauthorised access. No online service can guarantee absolute security. Keep sign-in links and passwords private, and report suspected account misuse promptly.

Axozar is a business service, not intended for children under 18. We may update this policy as the service or legal requirements change; the date at the top shows the latest update.
